AUBnet Account

How do we activate our AUB accounts?

To activate your AUBnet and other computing accounts please connect (from any Internet connected browser) to the following URL:
http://www.aub.edu.lb/cns/departments/accounts/Pages/newuserid.aspx

Please note that your AUBnet account is your key to most AUB computing services including the activation of other accounts and that you should start by the activation of that account by clicking on <Activate your AUBnet account>.

You will be guided via the "AUBnet Code of Conduct for Users of Computing Systems" policies and asked to read and accept the policies. After agreeing to the terms and conditions you will be guided to the "Managing AUBnet Account" page.

Please click on <Activate Faculty/Staff AUBnet account> and enter your:

Faculty/Staff ID Number and Birth Date.

Choose your password and re-enter the same password to confirm your choice.

Your account will be activated within 10 minutes and your AUBnet username and account status and details will be displayed immediately.

Buying a Laptop

If new faculty want to buy personal computers or laptops, does AUB assist in this matter ?

To assist new faculty with the purchase of personal computers for their private "non-business" use, please note that CNS works with the faculty system administrators on preparing a "Student Laptop Fair" annually where computer vendors present their best offers to AUB students and faculty with preferential AUB pricing schemes. The fair usually takes place a short while after the start of the fall semester

What types of telephone cards are available in Lebanon?

Campus Tours

Does AUB provide campus tours for new faculty members so that we can know our way around campus?

The Visitors' Bureau on campus, located right under the Main Gate, provides individuals with tours of AUB. You can contact them before you arrive to arrange for a personal tour, or instead you can just walk in when you arrive. You can also visit their website.

Carrying IDs

Should I carry any ID other than my AUB ID card while I'm off campus?

Please carry an identity card along with the AUB ID card at all times, especially when you are off campus. This is a 'must' in Lebanon and any person who fails to do so will be arrested and asked to pay a fine because of this violation. More specifically, if you are:

  • Lebanese nationals, please carry your national ID card along with
    your AUB ID card at all times.

  • Non-Lebanese faculty, please carry your residency permit or
    passport along with your AUB ID as well at all times.

Censorship

I will arrive in Beirut with tons of  Holocaust-related written materials/films/hand-outs from the USHMM for my students, etc, in my suitcase. It's all my teaching materials, which I am obviously reluctant so mail, knowing I won't have access to the literature at AUB.  In the chance of my luggage being checked upon entry, could this get me into trouble?

As for your course material, I asked our information office about it and they will check it out with airport authorities. The worst case scenario is that they might confiscate your bag. However, since this material is academic in nature, I don't think there will be a problem.

Classrooms on Campus

Are classrooms in the English Department equipped with a computer and an LCD monitor and/or a slide projector?

Well, some of the classrooms are fully equipped with an LCD screen, a computer and monitor, a projector (Regular transparencies), and you have a network connection-but no slide projectors. We refer to  these rooms as the "intelligent classrooms".

To find out if you were lucky enough to have access to these rooms, you'll have to check your detailed schedule and assigned classrooms.

Many classes offered by the Faculty of Arts and Sciences are given in Nicely Building (quite a few rooms there are fully equipped), some in Fisk Hall (where your office is- rooms there are not equipped), and a few in the Physics Building on Lower campus (all rooms
there are equipped.

I don't know anything about your schedule, but if you have it I can check out
your room assignment and tell you if you landed with such rooms.
Unfortunately, this info is available on a website which you can only access on campus!

Currency

Can I bring cash in Euros?

You can carry Euros although people here prefer US dollars. There is no limit and I feel that arriving with some savings is an excellent idea because it usually takes some time for reimbursement and your first pay check. Credit cards are widely accepted here, so bring yours in.

Banks and exchange booths are available.  And you need not worry about carrying Euros in big denominations; it's not a problem.

Dress Code

Is there a dress code for faculty on campus?

Not really. We do not have an official dress code for faculty; some  are usually  dressed in what we like to call sport chic. Most faculty  favor the casual business look; however some opt for formal dress.

I would say that it depends on the occasion; if it's a  lecture in the Assembly Hall, then of course, it will be formal suit. The bottom line is that it is up to you to decide.

Housing

Whom do I contact for a request to live on campus?

All housing requests lists will be sent to us from the Dean's office within two or three months after it is approved by the President. Recommendations and priorities for either on or off-campus housing should come from the dean and are mentioned on the lists sent to the President. Please keep in mind that  all on-campus allocations depend mainly on availability.

Upon the Dean’s recommendation, the Director of Housing, Mr. Antoine Chahine, chahinea@aub.edu.lb, or the Assistant for Housing, Mr. Nasr Ashkar, na31@aub.edu.lb will take charge from there on.

  I need to know if it will be possible for me and my family to live on campus at least for the first semester ?

I'd  like to point out that they will only consider your request if it's for a minimum of two semesters.

With what does AUB  provide us? 

The furniture allotment includes sofas, armchairs, coffee and end tables, bookcases, desks and beds. All apartments have a refrigerator and a stove, however, washers and dryers are not provided. You will need to bring with you or purchase in Beirut linen, pots, pans, crockery and cutlery. Kitchen appliances and electrical goods are readily available in Beirut.

Should incoming faculty members bring along any electrical adapters?

The voltage in Beirut is 220v so incoming Faculty members should bring the appropriate adaptor, or they can even buy one from here. As for the plug type, here in Beirut we use the two prong plug. However, on campus we use the three pronged like the US. So it depends on where they will be residing.


Housing: On- and Off-Campus

What is the difference between on-campus and off-campus housing?

On-campus

  • There are three AUB apartment buildings on the university campus.

  • The three on-campus apartment buildings are on the lower campus, and close to all university buildings..

  • Campus housing is farther away, and a hike uphill, from shopping areas (grocery, pharmacy, etc.) but very close to two schools that faculty children attend.

  • The rent for these apartments differs according to size of apartment and building.  It is  very reasonable in relation to other Beirut apartments.

  • AUB maintenance and security services are available 7 days/24 hours.

  • There are not enough available housing units to accommodate all faculty requests.

Off-campus

  • There are many options for living off-campus, but these are more limited during the summer when new faculty may be looking for housing.

  • AUB’s Housing Department assists new faculty in finding off-campus units in Beirut.

  • Rental fees are generally higher off-campus; however, off-campus rent is subsidized.

  • This is a good option for those who wish to live in a Beirut neighborhood, conveniently close to shops.  Much off-campus housing is also within walking distance of the AUB campus and close to schools for children.

  • Maintenance and services are provided by the owner of each building, and may vary in quality.

Import Regulations for Cars

Do you know what the import regulations for cars are?

We are planning to come with  our car and I was wondering how that works. I will actually not be shipping my car but just driving it in. So, I wanted to know about the procedures. What are the regulations for me? 
 

 

Importing Your Personal Car to Lebanon

Personal cars can be imported temporarily or permanently to Lebanon. Temporary Import of Cars can be affected by one of the bellow two formalities:

1)      Trip Ticket (An international carnet used for temporary entry of cars. This Carnet is issued by Authorized Automobile Clubs Worldwide. Conditions of import in this case are:

·         Car manufacture must not exceed 8 years.

·         TripTicket will allow for a temporary import for a period of 6 months , re-newable for additional 3 months after which the car must leave Lebanon & will not be allowed to benefit from another trip ticket temporary entry UNLESS it spends OUTSIDE Lebanon a time period equivalent to that temporarily spent at Lebanon.

·         No deposit or bank guarantees collateral will be requested.

·         Clearance Charges for such cases can be checked at the following link:

·         Documents needed are: original car license, original owner passport, original trip ticket carnet.

·         The description on all the documents, including shipping documents (Airway bill / Bill of Lading), should clearly state: Used Passenger Car / Model…. / Chassis Number……

 

2)      Temporary Import Customs Formality IM5: This is a normal standard temporary import formality “IM5”. Conditions of import in this case are:

·         Car manufacture must not exceed 8 years.

·         A temporary import approval from Customs General Administration to be prepared by car owner (translation to Arabic will be done by the clearing agent). Documents needed as attachments are: original car license, residency & work permit , commercial Invoice showing value of the car, model , year of manufacture, etc.

·         A temporary import will be granted for a period of one year , re-newable for similar periods in case car owner is working at AUB with valid annual work & residency permits, otherwise the temporary import period will be approved for 3 months extendable ONCE for another 3 months making a total possible temporary import of 6 months.

·          A Cash or Bank Guarantee collateral will be requested equivalent to 110% of Imposed Duties & Taxes.

·          Clearance Charges for such cases can be checked at the following link:

·         Documents needed will be: original car license , original owner passport , original residency permit, original work permit  and a commercial invoice.

·         The description on all the documents, including shipping documents (Airway bill / Bill of Lading), should clearly state: Used Passenger Car / Model…. / Chassis Number……

Health Insurance Plan

When does the membership in the insurance plan begin?

Membership begins from the date of enrollment. For foreign hire personnel duly engaged from overseas, membership may begin one month before the date when work and salary begin. Membership continues automatically unchanged as long as the subscriber remains eligible under the Plan. No change in class or coverage is allowed unless the subscriber specifically requests a change in writing, and then only in the following October.

Laundry

Does AUB housing provide laundry services ?

No, AUB housing does not provide laundry services to faculty. However there are some shops in the Hamra area which provide laundry services. The closest to AUB is a shop called "Laundromatic" along Sidani Street. We have more information in our Getting Settled section

Moodle

I know many faculty members use a Learning Management System, Moodle and that this system can be used to create course material for Web-enhanced, blended / hybrid, or on-line courses. I'd like to start working on my Moodle courses? How do I get started? 

 

Start creating your Moodle course before arriving at AUB

Moodle is the official LMS (Learning Management System) of the American University of Beirut.
Moodle allows instructors to easily post course material, hold class discussions, communicate with students, and hold exams on-line. Moodle is very easy to use. Course content is added through the use of on-line forms and files made in Word, Power Point, Excel, and various other programs can be added directly into Moodle.
Moodle is managed by the
IT Academic Core Processes and Systems and all AUB faculty members are strongly encouraged to use Moodle to supplement their classroom meetings.

If you would like to start your Moodle course now, that is, before actually arriving at AUB we can help you with that. We will create a Moodle course for you to start uploading and organizing your course material at your convenience. This way, when you arrive at AUB you will have most of your course already organized.

Outfitting Allowance

Does AUB provide me with an "outfitting allowance" to get settled?

The letter of appointment to the post of regular full-time professor, associate professor, or assistant professor of an individual whose home at the time of appointment is not in Lebanon may provide for a one time allowance to cover a portion of the miscellaneous costs of establishing a household in Beirut at the beginning of the appointment (outfitting allowance).

Parking Policy

What is the policy regarding parking my car on campus?

Parking is granted to faculty members and staff whenever space is available. Business Services (BS) begins the parking permit renewal process every year at the beginning of the fiscal year (October). After processing all permit renewals, Business Services begins accepting new applicants by filling-in Form A (For more details, please refer to http://www.aub.edu.lb/auxiliary/parking/). However, due to limited parking areas, they will only be considered if space becomes available after October 31st of each year.
The above link will assist you by providing necessary instructions, forms, fees and deadlines. Faculty and staff living on campus are always granted parking permits.
During the year new applicants, who are not AUB campus residents, may be granted parking permits depending on space availability.

Reimbursement

Who will pay for my medical  tests?

The cost for the medical lab tests  required for the completion of the  AUB medical history and the necessary inoculations are not covered by my health insurance.
Do you know if AUB will reimburse me for those expenses? 
You need to send the original bills through the Dean's Office. They will pass them on to Human Resources for processing purposes. I hope you do have the original receipts.

My contract starts the first week of the month. When will I receive my first pay check?

You'll receive your first pay check with the regular payroll of the university, on the last Friday of the same month you contract begins.

My contract starts in the middle of the month. When will I receive my first pay check?

You'll receive your first pay check on the last Friday of the following month your contract begins. Please note that according to AUB policy, you can always get an advance on your salary.

When will I be reimbursed for luggage allowance?

As soon as Human Resources send authorization to the Comptroller's Office, you will be reimbursed within the following ten days.
Please note that if you have any questions regarding reimbursement, you can contact Ms. Nehma Sleiman, the Executive Officer in the Comptroller's Office, email ns78@aub.edu.lb, extension 2488.

How can I know AUB's Pre-Set Price for reimbursing appointment tickets?

The Auxiliary Services Office sets the price of the average cost of a one-way ticket  based on the originating destination as determined in the Letter of Appointment. Please contact Katia Zachem, Administrative Assistant, Auxiliary Services, email kz00@aub.edu.lb, extension 2370 for further details about the pre-set prices.

School Admission Deadlines

When is the deadline to submit my childrens' applications to schools in Lebanon?

Each school in Lebanon has a different policy when it comes to application deadlines and requirements. For detailed information you can visit the school's website or contact them directly.

  • International College ( www.ic.edu.lb):

    Pre-school: February 1

    Elementary school: February

    Middle school: mid-April

    Secondary school: end of April
     

  • The American Community School ( www.acs.edu.lb): Applications for the following year are accepted for consideration beginning in February (and continuing on a rolling basis until classes are full).

Shipment

Is there a shipping agency AUB works with. I have books and art work I would like to ship.

There is no  specific shipping agency that AUB deals with. However, regarding taxes and customs upon entry into Lebanon, the policy states that used furniture is exempted for non-Lebanese once they submit their work permit and contract in Lebanon . However, you'll have to pay duties for cars.

What are the items that can’t be shipped to Lebanon?

All kinds of firearms, ammunition, drugs, narcotics, and pornographic materials, swords, knives (even the decorative ones). Alcohol is allowed in small quantities.

Shopping Tours

Do you organize shopping tours for new faculty?

Yes, we usually schedule them as soon as we have a reasonable number of people who have expressed interest in joining such tours (usually around mid-September).

Storage

Would it be possible to  store some boxes on campus to await new faculty member’s arrival?

No. AUB no longer has any available space that could be used for storage.

Taking Arabic Courses on Campus

I am interested in learning Arabic. Do you offer such courses on campus?

The Continuing Education Center (Regional External Programs) offers courses in spoken and literary Arabic during the fall and spring semesters of the academic year in addition to a summer session. The first and second semesters usually start at the end of October and the beginning of March respectively; each course runs for 12 consecutive weeks.  Moreover, the summer session starts at the beginning of July and lasts for 8 weeks, with classes meeting six hours weekly.

Please keep in mind that the final decision to offer the Arabic courses during any semester can only be made in light of demand and enrollment.

Transportation

Whom do I have to contact to arrange for the transportation upon my arrival?

Regarding airport pick-up,  we need to know the exact time of your  arrival, and flight number, and where you will be residing when you arrive so that we can send a request to AUB's transport service, Motor Pool. We will make arrangements for Allo Taxi to meet you at the airport and take you to the Hotel .The driver will have a sign with your name on it. This is Allo Taxi's number in case you have any trouble (01-517070).

What if there is no one there to meet me at the airport?

If  the taxi driver is not there waiting for you, please go to the Allo Taxi airport transport service desks. In fact,  Allo Taxi along with its sister companies Avis and Budget Rent A Car have a 24-hour open desk at the Rafic Hariri International Airport at the arrival area. They will take care of your request and organize your transport immediately.

Is smoking allowed on campus ?

Opening a Bank Account  

What are the requirements for opening a Bank Account?

One needs the original signed contract from AUB, rental agreement through Housing, and preferably a "letter of appointment" from AUB -- which HSBC considers a separate document from the contract .
