A Letter from President John Waterbury to the AUB Community

Background
Over the years, many of the University’s documented policies and operating procedures have become outdated and/or obsolete. The growth of the University and the Hospital, coupled with the introduction of new information systems, have led to many changes in the way that we do business. Historically, many of the University’s policies have been based on US and Lebanese Law, precedent and commonly accepted practice. Procedures have been developed over time to guide Faculty, Staff, and Students in the day to day operations of the Institution. As part of the overall revitalization and accreditation of the Academic and Medical programs, the Board of Trustees has mandated that all Policies and Procedures of the Institution be reviewed, revised as may be appropriate, and fully documented.

Policies and Procedures Review Committee
Because a large number of policies pending approval now exist, and in order to ensure that the process of drafting and approving policies and procedures moves on correctly and smoothly, a Policies and Procedures Review Committee (PPRC) has been established. This is an advisory committee composed of George Tomey, Vice President for Administration; Maurice Carlier, Director of Internal Audit; Marina Hajj, Deputy Hospital Director; Waddah Nasr, Associate Provost (Chairperson); and Mary Khairallah, Systems and Procedures Analyst (Secretary). 
The PPRC is charged with the responsibility to identify areas in which policies and procedures need to be updated and, in conjunction with the department responsible for the policy, agree on the overall scope of the proposed policies or procedures and timeline for completion. The PPRC will provide editorial oversight and advice to the persons responsible for policy preparation and will keep the President appraised on the status of all policies under review. 
The PPRC will be responsible for reviewing completed Policies and Procedures and recommending them to the President for approval. The responsibility for revising and/or drafting policy documents rests with the relevant managers.

Policies and Procedures on the AUB Web Pages
The Policies and Procedures Office (P&P), a section of the Office of the Vice President for Administration headed by Ms. Mary Khairallah, is responsible for the publication of all approved policies and procedures on the AUB web pages. Department Heads are responsible for ensuring that policies for which they are responsible are reviewed and updated on a regular basis. The P&P Office may request that a Department amend any policy which becomes outdated and may refer any or all policies to the PPRC for review as may be deemed necessary. 
It is the responsibility of all managers to be familiar with the University’s policies and procedures and to ensure that their subordinates either have access to the web pages and/or are educated in the policies and procedures that are applicable to them.
