Job Title: Academic Assistant – Laboratory Operations
Contract Type: Full-time annual contract with possibility of renewal.
Role Overview
The Academic Assistant supports the day-to-day operations of the laboratory, ensuring efficient system use, smooth communication, and effective coordination of events and infrastructure. This role bridges administrative support, user assistance, and communication efforts within the lab environment.
Key Responsibilities
- Provide day-to-day support for the laboratory booking system, including assisting users and addressing routine issues.
- Maintain and update system content to ensure accuracy and usability.
- Coordinate with internal teams to ensure smooth operation of laboratory systems.
- Handle laboratory communications, including website updates and social media coordination.
- Support branding and outreach efforts for laboratory initiatives and events.
- Assist in organizing conferences, training sessions, and workshops, including logistics and coordination.
- Manage post-event activities, including multimedia content editing (e.g., training/session videos).
- Capture and curate visual content such as event photography.
- Coordinate with IT personnel regarding laboratory PC setup, updates, and maintenance.
- Maintain laboratory inventory records and assist in preparing operational reports and usage statistics
Required Skills and Qualifications:
Minimum Qualifications
- Bachelor's degree in Science, Engineering, Computer Science, or a related field; a Master's degree is a plus.
Technical and Systems
- Basic knowledge of laboratory or booking systems (preferred)
- Familiarity with IT systems, software updates, and troubleshooting coordination
Administrative and Organizational Skills
- Strong organizational and multitasking abilities with attention to details
- Ability to coordinate across multiple teams and manage priorities effectively
Communication Skills
- Strong written and verbal communication skills
- Proficient in spoken and written English
- Ability to manage website content and social media platforms
- Experience in outreach, branding, or institutional communication is a plus
Digital and Creative Skills
- Basic video editing and multimedia content creation
- Event photography or visual content creation
- Familiarity with content management platforms (websites, social media tools) and design tools such as Canva
Soft Skills
- Problem-solving mindset for routine operational issues
- Ability to work independently and within a team
- Strong time management and adaptability
Preferred Qualifications
- Experience in an academic, research, or laboratory environment
- Exposure to event coordination or conference organization
